Opening a new clinic in Dubai involves many steps, and medical equipment is one of the most important. The Dubai Health Authority (DHA) expects equipment to be safe, suitable for its purpose and properly maintained. Getting this right early helps your licensing go smoothly and protects your patients from day one.

Use this practical checklist to prepare your equipment. Always confirm the latest requirements directly with DHA, as regulations are updated from time to time.

1. Build a Complete Equipment Inventory

List every medical device in your facility with its make, model, serial number, location and supplier. An organised inventory is the foundation for maintenance planning and makes inspections much easier.

2. Buy From Reliable Suppliers

Source equipment through suppliers who can provide documentation, warranty details and local after-sales support. Keep user manuals and technical documents on file for each device.

3. Plan the Site Before Installation

Check power supply, space, ventilation and any special requirements before equipment arrives. Dental chairs, X-ray units and lab analyzers in particular may need specific site preparation.

4. Complete Testing and Commissioning

Every new device should be installed correctly, tested and commissioned before it is used on patients. This usually includes:

  • Installation verification
  • Functional and performance testing
  • Electrical safety testing
  • Calibration against manufacturer specifications
  • Signed acceptance test reports

5. Train Your Staff

Make sure clinical staff are trained to use each device safely and know who to call when something goes wrong. Keep a simple record of who was trained and when.

6. Set Up a Maintenance Plan

Before you open, put a Planned Preventive Maintenance (PPM) schedule in place for every device, ideally under an Annual Maintenance Contract (AMC). Preventive maintenance keeps equipment safe and gives you the records inspectors expect to see.

7. Keep Your Records Organised

Store commissioning reports, calibration certificates, service reports and repair history in one place. Well-organised records save time during inspections and make audits far less stressful.

8. Know Who to Call for Breakdowns

Have a clear process for reporting faults and arranging corrective maintenance, so a single breakdown does not disrupt your clinic for days.

Getting Ready for Inspection

A clinic that has documented testing, an active maintenance plan and organised records is in a strong position for DHA inspection. More importantly, it is a safer place for patients.
